Our office staff works hard to ensure patient comfort and convenience. To help you better understand our office operations, we have included the information you need about our hours, locations, appointments, insurance acceptance and billing below.

Telephone messages are handled on a priority basis. Routine care questions will be answered at the end of the day or sooner as time allows in our schedule. Your phone messages will be answered by the doctors or their nurse. All phone messages are reviewed by the doctor at the end of the day. Every effort is made to answer all messages the same day.
Your children's records are held in strictest confidence and cannot be released without your written consent. This is to protect your children's personal medical information from unauthorized inquiry. Immunization records will not be given over the phone. We are able to fax small amounts of information (ie daycare forms, immunization sheet, and physical exam forms) if written release has been received.
We reserve time for acute care visits in the doctor's schedule every day. Please call AS EARLY AS POSSIBLE to schedule a visit for your ill child. For an appointment, tell the receptionist or nurse the nature of the problem, which will allow them to schedule the appropriate amount of time and they can also consult the doctor if necessary. We will make every effort to arrange an appointment time satisfactory to your concerns. "Well" visit appointments should be made as much in advance as possible as those visits fill quicker.
Patients are seen by appointment only. Walk-in patients will only be seen if the doctor's schedule permits it.
Because of the nature of our business, occasionally your doctor may be called out of the office for an emergency or be delayed due to extended time required during an office visit. If this situation were to arise, we will contact you as soon as possible and work out a satisfactory arrangement for your appointment.
All well visits are made with your physician except when a parent's time constraints prevent this from happening. We will make every effort to have your child see his or her doctor when your child is ill. We ask that non-urgent or chronic visits be scheduled with your primary doctor since they will have better background knowledge of your child and family to provide the best care.
We do have a limited number of sick visits on Saturday mornings when we are on call. These visits are reserved for same day urgent care only and we can not schedule in advance. To make an appointment call on Saturday morning as close to 8:30am to speak to the receptionist or nurse at the office. We will not be able to provide well child care visits on Saturdays.
Emergencies & After Hours
In case of an emergency with your child, contact our office. If it is after hours, your call will be forwarded to our answering service which will reach the pediatrician on call who can direct you to the appropriate urgent care or emergency room. In the case of a life threatening emergency please call 911 or proceed directly to the nearest emergency room. The hospital will inform us of your visit. If possible we would recommend you take your child to Children's Hospital of Wisconsin Emergency Room in most situations.
We do provide 24 hour coverage. After hours, a call to our office will be forwarded to our answering service. The answering service will then reach us. If you do not receive a return call in 20 minutes, please call again.
Fees & Billing
Our office policy is that payment of co-payments is required at time of service unless previous arrangements are made in advance with our office manager. We do accept Mastercard, Visa, and debit cards for payments on your account. Please remember that this policy allows us to keep your cost of billing and bookkeeping to a minimum.
If billing is required, our statements are rendered on a monthly basis. If you cannot pay your balance during a particular month, please contact our business office to make special arrangements for payment. If a second or additional billing is required, a billing charge may be added to each additional statement.
We will gladly complete camp, daycare, school, and athletic forms. You can bring in forms at your annual well child check up visits or you can drop them off in person or fax them directly to our office. We will do our best to have the forms ready for pick up within 24hrs or you may provide a self addressed and stamped envelope to mail back to you. We do receive a large number of forms to complete so please be respectful of the 24hr turn around time on requests.
Please allow 24hrs for turn around for prescription refill requests. We receive a large number of requests for refills so please be respectful fo the 24hr turn around time. Some controlled medications require a physical paper prescription that must be handed to you directly or mailed to you in a provided self addressed and stamped envelope. Please check with your pharmacy to see if you have refills for any daily medications and they may be able to fax us a request for a refill where applicable.
